Personal Information: When you sign up for an account, we collect your email address and authentication details via Clerk, our authentication provider.
Document Data: When you save invoices, salary slips, or bills of supply, we store that data in our database to allow you to access it later.
Usage Data: We collect anonymous usage data including pages visited, referral sources, and browser type via Google Analytics to improve our services.
IP Address: We may collect your IP address for analytics, rate limiting, and abuse prevention purposes.
3. How We Use Your Information

5. Data Storage and Security
Your data is stored securely on our servers and those of our third-party providers. We implement reasonable security measures to protect your information. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
6. Data Retention
We retain your personal information and document data for as long as your account is active. If you delete your account, we will delete your data within 30 days. Usage analytics data is retained for 26 months as per Google Analytics's standard retention policy.
7. Your Rights
You have the right to access, update, or delete your personal information at any time. Organization owners can access and manage their saved business records in the dashboard. The organization settings page also provides CSV and PDF exports of organization details, settings, clients, invoices, payments, leads and activity, saved documents, and subscription history. Public invoice access tokens are excluded from these exports.
For an account deletion or data-handling request, contact contacthustlehood@gmail.com from the email address associated with your account. We may need to verify account ownership before acting on a request.
8. Public Invoice Links and Reminders
If an organization owner creates a share link for an invoice, anyone with that unpredictable link can view the read-only invoice until the owner revokes access. The invoice page is limited to invoice and payment information intended for its recipient and does not show the client's saved email or phone number. Owners should share links only with intended recipients.
Email and WhatsApp reminder actions open a draft or external message composer for the user to review and send. Toolhoods does not send those reminders automatically, and contact details entered in the reminder dialog are not saved by that action.
9. Cookies
We use essential cookies for authentication (via Clerk) and analytics cookies (via Google Analytics). You can control cookie preferences through your browser settings. Blocking cookies may affect some functionality of our tools.
